Customize user access rights

Goal: you assign a user the appropriate access rights via user roles and folder roles.

Which information is available to a user, which activities they may carry out, and which projects they may work with is decided by assigning these access rights. You define the rights of user roles under Administration > User roles, and the rights of folder roles under Administration > Folder roles.

Step by step

  1. In the user list, in the Actions column

    "Actions" column in the user list

    click the button "Manage user rights" icon button.

  2. In the corresponding cell, click Revoke an access right (revoke) or Grant an access right (grant).

Rillsoft Integration Server provides two types of roles to configure a user’s access rights flexibly and in detail:

  • User roles

  • Folder roles

User roles

User roles are folder-independent and define access rights for

  • the resource pool

  • user management

  • working with portfolios

  • vacation planning

  • working with DMS

  • the iCalendar and Timeline modules

Folder roles

Projects can be grouped in Rillsoft Integration Server in a multi-stage structure; this structure is available under the Folders menu item.

In addition, folder roles are responsible for access rights to the folders. This lets you determine how (read, change, etc.) and with which projects users may work, by defining the appropriate folder roles for different folders.

Working with portfolios, some e-mail notification functions, timesheets, and iCalendar are also influenced by folder roles, since these relate to projects stored in various folders.

In summary: folder roles are folder-dependent and are responsible for the access rights to the following activities:

  • Working with folders

  • Working with projects

  • E-mail notification

  • Timesheet

  • iCalendar access
