DMS integration in depth¶
The Document Management System (DMS) stores project documents in an audit-proof way in a client-wide folder structure. Two concepts matter here beyond plain operation: the access rights model and its relationship to data retention.
Access rights model¶
Like most RIS features, DMS access combines two independent role types:
A user role with the Read documents right (minimum requirement), optionally supplemented with Create documents, Change documents, Delete documents, Restore documents, or Manage folder structure.
A folder role with the Read project right for the folder the respective project is stored in — without this right, its documents are not accessible either.

Relationship to the retention period¶
Deleted documents are not removed immediately, but are only permanently deleted from the database once the retention period configured for the client has expired — the same mechanism that also applies to deleted projects and resource pool revisions, see Retention period. If a deleted project is restored, its DMS documents are automatically restored with it.
The folder structure itself applies client-wide to all of the client’s projects, not per project — restructuring it therefore affects all projects of that client.
